The challenge for the art department is that these are not standard props. A wooden desk is inert, it sits there and does nothing. A laptop on that desk needs to be open, powered on, and showing something plausible. If the camera catches a Windows login screen or a sleep prompt on what is supposed to be a busy trading floor, the illusion breaks.

What do you need these devices for?

  • A decorative device appears in the background of a shot. It needs to be on and showing something credible, but no one interacts with it on camera. These work well with a static image or a short video loop (a corporate desktop, a financial dashboard, a data feed…) combined with locked settings so that no system notification or screensaver interrupts a take. The configuration is straightforward and the cost reflects that.
  • A functional device is one the actor touches, navigates or reads from in close-up. A doctor scrolling through a patient file on a tablet. A journalist reading a message on a phone. An analyst watching numbers fall on a monitor. These need purpose-built on-screen content: a fictional interface designed by the art department, branded visual elements that match the story’s world, or a carefully timed video sequence that plays in sync with the actor’s performance. The preparation takes longer and costs more, but without it the close-up reveals the device as a prop rather than a real object in the character’s world.

In a typical office scene with twenty laptops, perhaps fifteen are decorative and five are functional. Specifying this ratio when briefing the provider means the art department only pays for full configuration where the camera actually demands it.

The requirements for commercials are different from film and TV in one important way: fewer devices, but much higher visual standards per device. A spot for a banking app might feature a single phone in frame for twenty continuous seconds of screen time. Everything the viewer sees on that screen. The interface, the transitions, the data, the branding have to be flawless, because the camera is not glancing past it. It is staring at it.

This means the device itself matters. The agency or the client’s marketing team often specifies the exact model: a particular iPhone for a premium feel, a Samsung Galaxy for an Android campaign, a MacBook for a lifestyle brand. How Your Rental Qualifies for Spain’s 30% Film Tax Rebate

This is worth factoring in before the budget is locked.

Under Article 36.2 of Spain’s Corporation Tax Law, international productions that shoot in Spain through a registered Spanish service company can claim a tax deduction on eligible expenditure incurred in Spanish territory. The current rates are 30% on the first €1 million of qualifying spend and 25% on the remainder, with a cap of €20 million per production. The Canary Islands offer even more favourable terms, with deductions reaching 50% on the first million.

Production timelines are not office timelines. Dates shift, scenes get added, the art department changes the brief, a location moves. The rental process needs to accommodate that reality rather than fighting it.

The process starts with a brief from the art department or the production coordinator: what devices, how many, what needs to appear on screen, which dates, and where. We return a quote on the same business day covering everything in a single document (props devices, phones, monitors, accessories) so there is no need to coordinate with multiple suppliers.

Once confirmed, we configure during the prep period. Props devices get their screen content loaded and tested for camera. Phones get SIM cards. Monitors get their video loops running. Everything is checked before it leaves our facility.

Delivery goes directly to wherever the production is working… If something needs to change during the shoot, ie. a device fails, the art department needs five more tablets for a scene, or the brief for the on-screen content changes between shooting days — we handle it without requiring a new contract or a lengthy approval process.

At wrap, we collect from the same location. Every device goes through certified data erasure: production data, scene content, contacts, credentials, everything destroyed. If the completion bond company or the parent studio’s legal department needs a data destruction certificate, we provide one.
